Privacy policy

This policy explains which personal data we process when you visit officina.berlin or contact us, and what your rights are. It is a translation; the German version is the binding one.

Hosting

The website is hosted by Netlify, Inc. (USA). On every request, Netlify processes the technical data needed to deliver the page: IP address, date and time, requested address, referrer, browser and operating system. This data is also used to keep the service secure.

The legal basis is our legitimate interest in a secure and reliable website (Art. 6(1)(f) GDPR). We have a data processing agreement with Netlify. Transfers to the USA rely on the EU-US Data Privacy Framework or on the European Commission's standard contractual clauses.

Fonts

All fonts are served from our own server. The site makes no connection to Google Fonts or any other font service.

Analytics with PostHog

We use PostHog (PostHog Inc., USA) to understand how the website is used. The data is processed on servers in the EU (Frankfurt am Main, Germany).

Without your consent

As long as you do not click "Accept cookies", PostHog stores nothing on your device – no cookies, no local storage. It records:

  • which pages you view and which page you came from,
  • clicks on links and buttons, including where they are on the page (for heatmaps),
  • which FAQ questions you open, and whether you reach or open the booking calendar,
  • page load times (Web Vitals),
  • language, browser, operating system and device type,
  • your IP address, from which PostHog derives your approximate location (country, city).

To group the page views of one day, PostHog computes a hash on its server from your IP address, your browser's user agent and a key that changes every day. It cannot be used to follow a visit across days.

The legal basis is our legitimate interest in improving the website and seeing what information people look for (Art. 6(1)(f) GDPR). You can object at any time, for example by email.

With your consent

If you click "Accept cookies", PostHog also stores a random identifier in a cookie and in your browser's local storage. This tells us whether you have visited before.

The legal basis is your consent (Art. 6(1)(a) GDPR, § 25(1) TDDDG). You can withdraw it at any time with "Cookie settings" at the bottom of every page.

PostHog acts as our processor. Where data reaches PostHog Inc. in the USA, the transfer relies on the EU-US Data Privacy Framework or on standard contractual clauses. We delete the data once we no longer need it for analysis.

Booking a trial day (Google Calendar)

You book a trial day in an appointment calendar from Google (Google Ireland Limited, Ireland). The calendar only loads when you click "Show the calendar". Before that, the page makes no connection to Google.

Once you open it, Google receives your IP address and technical data about your browser, and may set cookies. The legal basis is the consent you give with that click (Art. 6(1)(a) GDPR, § 25(1) TDDDG). If you book a slot, Google and we process what you enter there (for example name, email address and the chosen slot) to organise the trial day (Art. 6(1)(b) GDPR).

Google may transfer data to Google LLC in the USA, based on the EU-US Data Privacy Framework. More: Google's privacy policy.

Applying for a desk (Google Forms)

The "Apply for a desk" buttons lead to a form on Google Forms. You only enter data there, and Google only receives your IP address when you open it. We use what you enter to handle your request and arrange a trial day (Art. 6(1)(b) GDPR). Google processes it for us as our processor.

Contact by email

When you write to us, we process your email address and your message to reply (Art. 6(1)(b) or (f) GDPR). We delete the message once it is dealt with, unless a legal retention period applies.

Map (OpenStreetMap)

On the "About" page, a map shows where we are. Your browser loads the map images from the servers of the OpenStreetMap Foundation (United Kingdom), which receives your IP address. The legal basis is our legitimate interest in showing our location (Art. 6(1)(f) GDPR). The European Commission has issued an adequacy decision for the United Kingdom.

Links to Instagram and Facebook

Our Instagram and Facebook profiles are only linked, not embedded. Meta receives no data until you click one of these links.

Your rights

You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20), and to object to processing based on legitimate interests (Art. 21). You can withdraw a consent at any time with effect for the future (Art. 7(3)). Write to us at hello@officina.berlin.

You can also complain to a data protection authority. The authority responsible for us is the Berlin Commissioner for Data Protection and Freedom of Information (Berliner Beauftragte für Datenschutz und Informationsfreiheit), Alt-Moabit 59–61, 10555 Berlin.
